name description
meeting-record Turns notes or a transcript into a meeting record, decisions, action items with owners and dates, open questions, next steps; use after any meeting.

Meeting record

Use when: the user pastes notes, a transcript or a voice memo's text after a meeting: "make a record", "here are my notes", "minutes please".

Input

The notes or transcript. The meeting's date and name; if they are not obvious from the text, ask one question with both.

Steps

  1. Read my/team.md and actions.md.
  2. Read the whole input once. Sort what you find: decisions (the meeting said it decided), action items (a named person agreed to do something, with a date if one was said), open questions (asked, not answered), key points (the rest that matters), next meeting.
  3. Check each action item against the open items in actions.md: an update to an existing item changes its line; a new item gets the next number.
  4. Fill templates/meeting-record.md. Keep key points to ten lines. Names and roles as in my/team.md; a new name goes into the record and into my/team.md with "role unclear".
  5. Save meetings/YYYY-MM-DD-<slug>.md (note "Meeting record , N action items"). Append the new items to actions.md with the file name in "From".
  6. Answer with three to five lines: the decisions, how many action items are new or updated, what is marked unclear.

Output

The record by the template; the updated actions.md.

Edge cases

  • No decisions or no action items: write "none" in that section; do not invent any.
  • A long transcript: no quotes, key points only; say in the overview that the record is made from a transcript.
  • Two meetings in one set of notes: two records; ask where the first ends if it is not clear.
  • The notes contradict each other ("deadline Friday" and later "deadline Monday"): take the later one and mark it "changed during the meeting".
